This Booking & Cancellation Policy (the “Policy”) constitutes a legally binding agreement between Papaioannou Eleni (the “Company”), based in Amptzoglou 39, 54636, Thessaloniki, Greece, and any individual or entity making a booking (the “Participant”). By submitting a booking request and/or making any payment through whispersofolympus.com, the Participant expressly acknowledges, understands, and agrees to be bound by the terms set forth herein.
1. Retreat Fee & Scope of Services
1.1 Retreat Fee
The fee for participation in the retreat experience is per Participant. No Value Added Tax (VAT) is applicable.
1.2 Services Included
Subject to full and timely payment, the retreat fee includes the following services, as provided by the Company:

Accommodation for the duration of the retreat. Participants may indicate their preferred accommodation option during the booking process; allocation is subject to availability and final confirmation by the Company.

Daily breakfast and lunch during the retreat period.

Ground transportation to and from all scheduled retreat activities, excursions, and locations included in the official program.

Access to the full educational and experiential curriculum.
1.3 Services Not Included
Unless expressly stated otherwise in writing, the retreat fee does not include:

Airfare, airport tickets, or any international or domestic travel costs.

Transportation to and from Litochoro.

Dinner meals.
-
Personal expenses, optional activities, or services not explicitly listed under Section 1.2.
2. Discounts & Promotional Offers
2.1 Early Bird Discount
A 10% Early Bird discount may be offered for bookings completed within a promotional registration period, generally 50–65 days prior to the retreat start date, as specified in the applicable retreat announcement. Eligibility is determined solely by the Company.
2.2 Bring a Friend Discount
A 10% discount may be granted to Participants who register together with a friend, provided that both bookings are submitted and confirmed within the same registration period and under the same retreat offering.
2.3 Discount Conditions
Discounts are applied at the discretion of the Company, are subject to availability, and may not be combined unless explicitly stated in writing.
3. Payment Terms & Conditions
3.1 Deposit Requirement
A non-interest-bearing deposit equal to 30% of the total retreat fee is required at the time of booking in order to secure a reservation.
3.2 Balance Payment
The remaining balance of the retreat fee must be paid no later than fourteen (14) calendar days prior to the retreat start date.
Failure to remit the balance within the specified timeframe constitutes a material breach of this Policy and may result in cancellation of the booking by the Company without further notice. In such cases, the deposit shall be subject to the cancellation terms outlined in Section 4.
4. Cancellation & Refund Policy
All cancellation requests must be submitted in writing via email to the official contact address info@whispersofolympus.com . The effective date of cancellation shall be the date on which written notice is received by the Company.
If the Participant cancels more than one (1) calendar month prior to the scheduled retreat start date, the deposit shall be fully refunded.
If the Participant cancels less than one (1) calendar month prior to the retreat start date, the deposit shall be non-refundable.
No refunds shall be issued for failure to attend, partial attendance, early departure, or unused services once the retreat has commenced.
5. Company Rights & Limitation of Liability
The Company reserves the right to make reasonable modifications to the retreat program, schedule, accommodation, or services when deemed necessary, provided that such modifications do not materially alter the overall nature of the retreat.
In the event that the retreat is canceled by the Company, Participants shall be entitled to a full refund of all amounts paid. No additional compensation shall be provided.
The Company shall not be liable for any loss, damage, delay, injury, or additional expenses incurred by the Participant due to circumstances beyond its reasonable control, including but not limited to force majeure events, travel disruptions, governmental actions, or third-party service failures.
6. Governing Law & Final Provisions
This Policy shall be governed by and construed in accordance with the applicable laws of Greece. Any disputes arising in connection with this Policy shall be subject to the exclusive jurisdiction of the competent courts.
If any provision of this Policy is deemed invalid or unenforceable, the remaining provisions shall remain in full force and effect.
